Job Responsibilities

- Coordinate and oversee all aspects of executive meetings and events, from initial planning to execution.

- Liaise with senior executives to determine meeting objectives, agendas, and necessary outcomes.

- Select and secure appropriate venues, ensuring they meet the requirements for the meeting or event.

- Negotiate contracts with vendors, including caterers, audio-visual technicians, and other service providers.

- Manage budgets for meetings and events, ensuring all costs stay within the allocated financial resources.

- Develop and distribute meeting materials, such as agendas, handouts, and presentations.

- Arrange travel accommodations and logistics for meeting attendees, if necessary.

- Coordinate with IT staff to ensure all technical requirements for the meeting are met, including teleconferencing and presentation equipment.

- Facilitate communication among meeting participants before, during, and after the event.

- Monitor event timelines and ensure all deadlines are met.

- Handle any issues or emergencies that arise during meetings or events promptly and professionally.

- Collect feedback from attendees and executives to evaluate meeting effectiveness and identify areas for improvement.

- Maintain a calendar of executive meetings and events, scheduling them to avoid conflicts and ensure adequate preparation time.

- Collaborate with other departments, such as marketing and public relations, to promote events when appropriate.
