Event Coordinator
The Event Coordinator provides administrative and coordination support for all group and social events at the resort and waterpark. This role partners closely with the sales, operations, and F&B teams to ensure seamless execution of birthday parties, pool parties, cabana rentals, family reunions, and special events.
The Event Coordinator serves as the main liaison between the client and resort departments, ensuring all details are communicated clearly and executed to exceed guest expectations.
Essential Job Functions
- Serve as the primary planning advocate and liaison between clients and all resort operational departments.
- Prepare detailed group resumes and review Banquet Event Orders (BEOs) during weekly operations meetings.
- Coordinate and verify all event details including: Food and beverage service, Cabana reservations for events, Room and venue requirements (lighting, temperature, AV, internet, dcor) Entertainment, waterpark activities, and leisure experiences
- Billing and final invoicing
- Ensure all site inspections and client tours are successful by communicating event details to all departments in advance.
- Establish strong client relationships and remain readily available during events to ensure satisfaction.
- Conduct formal pre-event and post-event meetings when appropriate.
- Ensure all BEOs are accurate and distributed to departments in a timely manner.
- Identify revenue and upsell opportunities, including cabanas, food packages, dcor, entertainment, and enhancements.
- Partner with operations to proactively resolve issues and ensure exceptional guest experiences.
- Support Guest Voice and satisfaction goals through service excellence.
- Perform other duties as assigned by management.
Position Requirements
- Proven experience in hotels and sales required
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal in English and Spanish
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle multiple tasks and work in a fast-paced environment.
- High school diploma or equivalent; additional education or training in hospitality management is a plus.

- Requires sitting for extended periods, use of hands and fingers to operate computers and keyboards.
- Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
