Essential Job Functions:

Providing Administrative Support to the Sales & Catering Team

  • Responds to telephone inquiries and email inquiries (direct line and sales line). Gathers needed information from customer regarding their guest room block and events.
  • Serve as a lead catcher for group, catering and BT leads and qualifying with inquiry form
  • Create proposals utilizing eProposal Tool, Cvent and any other applicable lead sources
  • Draft contracts with sales manager’s final approval
  • Assistance in running daily/weekly/month reports based on needs of the property (i.e. daily function report, BEO report, Funnel report, GRC, etc.)
  • Prepare client files and checklists for all files/events
  • Assist with client appreciation gifts,incentive gifts, sales calls, sales blitzes and client thank you’s
  • Assist with in-house amenities for VIP and notable guests
  • Manage Sales Collateral including sales kits, fact sheets, etc.
  • Conducts client Site Tours (occasionally when needed)
  • Print and distribute breakfast vouchers
  • Assign Hilton Reward Points for all actualized groups.
  • File all event folders upon completion of the group.
  • Managing and entering rooming lists including setting up appropriate billing
  • Complete and distribute group resumes to all departments
  • Blocking space for any internal / in-house events
  • Complete pick-up and calculations of commissions, rebates, and subsidies
  • Other duties and/or responsibilities as assigned by supervisors or management

Work Environment and Context:
  • Work schedule varies and may include working on holidays and weekends.
